PDF-XChange Editor 3, successor of the popular PDF-XChange Viewer provides its users with a variety of options to edit PDF documents. Especially through its menu options “Document”, “Comments”, and “Tools” users have access to a range of additional features, in addition to those expected from a PDF tool, to modify and personalize files to individual preferences.

NEW! Edit PDF documents
With PDF-XChange Editor it is possible to edit, delete, move, and format text in existing PDF documents.
It is now also possible to move, resize, or remove graphics with PDF-XChange Editor.
NEW! The OCR feature
Scanned paper documents in PDF format have one major disadvantage: those PDFs cannot be searched, and there is no option to select and copy text. The reason for that is simple: a scanned document is nothing but an image, embedded in a PDF document. The same applies to fax documents received by a fax server.
Such PDF documents can for that reason not be searched for phrases and are therefore not ideal for archival storage. If you wanted to find one of these PDF documents later by searching for certain criteria, that would not be possible.
It is now possible to make such documents searchable using PDF-XChange Viewer Pro's integrated OCR feature. After a run of the OCR feature those PDFs can once again be searched for keywords, making them ideal for archival storage.
The OCR feature in PDF-XChange Viewer enables you to apply OCR to entire, multi-page PDF documents, or, if desired, to individual pages. The OCR feature recognizes texts in German, English, French and Spanish, and the language can be selected prior to running the OCR scan.
If you click on “Insert Page” in PDF-XChange Viewer, the appropriate menu window opens, which enables you to insert a PDF document to the existing document.
To do this, you first select the source file; you then select the page you would like to insert in the second step, before selecting the target within the edited document where you would like to insert the new page.
Insert empty pages
With the command “Insert empty pages”, you can add any amount of empty pages at a position of your choice to an existing PDF file.
Those can be freely configured in the sections size, amount, and format of the menu window.
Individual or multiple pages from an existing PDF document can be merged into one or multiple new files via the “Extract pages” command.
From that menu window you can, in addition to making the appropriate settings, also select the target folder on your PC for the newly created files.
If you would like to delete one or more pages from a PDF file, this can be done with the “Delete pages” command.
In the corresponding menu window you can change the appropriate settings according to your own preferences.
If you would like to rotate one or more pages within a PDF document by 90 degrees clockwise or anti-clockwise, or even by 180 degrees, you can do that using the appropriate command under the “Document” menu.
Additionally you are able to select whether the entire file or only pages with portrait or landscape orientation should be affected.
With the help of the Crop Box feature under menu “Crop pages” you can crop the document visible in the preview window on the right, in a way that only selected portions of the previous page are visible in the final result.
The appropriate margin restrictions can be applied via drag and drop, or directly via the appropriate settings menu.
You can furthermore use that menu window to define whether all pages or just a single page within the edited document should be cropped.
The sub menu “Comment and Markup” is particularly suited for adding an assertive, quickly recognizable comment to a document.
You can either use one of the stamp presets in English, or create an individually customized stamp with image or font files by calling the command “Stamps Palette” further down in the menu.
If you would like to insert a stamp at a particular position within the PDF document, the first step is to select that stamp from the select box. In the document itself, the cursor will now be displayed as a stamp symbol.
You then click once in the document at the desired position using the left mouse button, and the stamp will be added immediately at that location.
With PDF-XChange Editor it is also possible to create and use your own stamp presets. You can see from this tip how exactly this is done.
When selecting the “Comment” command in PDF-XChange Viewer, the cursor is displayed as a comment bubble, and you can add a comment to a PDF document by clicking at the desired position, using the left mouse button.
By right-clicking on the comment bubble, the context menu opens, which also contains the “Preferences” option. By selecting this option you can change the appearance of the comment symbol and the corresponding sticker in the appropriate menu window.
With the “Typewriter” command you can add additional text passages to existing original text in a PDF document and save the result together with the existing text.
When dealing with drawings, graphics, pictures, or colorful backgrounds, it is usually recommended to use a text field instead of the typewriter command, and to add text that way. This highlights the text and works better with an existing image.
With the help of speech bubbles it is possible to highlight particular areas in text passages or graphics, better than it could be done with arrows or comments.
If you would like to highlight a particular word or a special area in a graphic, you can mark that exact position with a speech bubble.
Using the “Mark Text” command, you can select particular areas within a PDF document to clearly highlight them with a yellow background.
To do this, you first select that command and then click at the desired start position and keep the left mouse button pressed while moving over the text you would like to mark, and release the button at the desired end position.
While marking text, text already selected will be highlighted in blue. Once you release the mouse button, blue will turn into a glowing yellow.
The “Strikethrough” command works similar to marking a text passage.
You first select that command in the menu. Passages in which single words or whole sentences should be struck through will be selected with the left mouse button pressed, during which these will be highlighted in blue. Once you release the mouse button, the selected text will clearly be struck through with a red bar.
Similar to the procedure for marking and striking through text, you can underline text using the “Underline” command.
You again select the command in the menu. Following that, you select the text you would like to underline with the left mouse button pressed, during which that text will be highlighted in blue. Once you release the mouse button, the text will be displayed as underlined in green.
Comment and Markup Toolbar
With the command “Comment and Markup Toolbar”, the entire palette of PDF editing options will be displayed, which can then be snapped to the application's main panel so that it is available at all times.
This has the advantage that you no longer have to open the menu explicitly, but can instead use commands directly by clicking on the appropriate icon.
Arrow and other shapes
With PDF-XChange Viewer, red arrows, lines, rectangles, clouds, and other symbols can be added to any position in a PDF document.
If you double-click on a desired shape with the left mouse button, a comment field opens, to which individual text can be added.
Pencil and eraser form a separate unit among the various shapes. Drawings, which have been created in a document using the pencil, can be removed at any point with the eraser. Other shapes remain untouched by the eraser.
With the “Embed Annotations” command you can add annotations at various positions, which, if desired, can also be saved or printed.
For that you simply select the appropriate options under the “Preferences” option for that menu window.
Form fields defined in the document can be annotated with helpful comments the same way, for instance with instructions for filling out the form.
If multiple users add comments to a PDF document, those comments can be combined and saved into a separate PDF file, with or without the corresponding text.
Output format and properties of that summary as well as various sorting options can be adjusted via the appropriate menu window, as desired.
Export annotations to file
If you would like to transfer comments from one PDF file to another, or to re-use them in the same document at a later time, you can do this effortlessly using the “Export annotations to file” option.
Comments from the source file will be exported into the so-called XFDF format and saved into a new file on the computer. This file can then either be imported into another PDF file, or if desired, be added to the former source file.
Saving comments as a separate file is particularly useful if you wish to send parts of the comments of a PDF document to other users via email, who already have the same or a similar source file.
The comments file uses up far less disk space and can for that reason be downloaded to the appropriate desktop computer, which especially in the case of extensive source files can be a real advantage.
The “Annotations Panel” is displayed on the left half of the screen after selecting the corresponding command.
As soon as comments have been added, they are displayed with page number and amount on the left hand side.
As desired, you can effortlessly open comments, add new ones with a single click, edit, or even remove comments, effortlessly.

I am exceedingly happy with the product. I have also recommended it at university. In my opinion, it is extremely important that one can add an unlimited number of underline, comments and bookmarks in documents when going paperless with PDF files at work. Besides the feature should not cost hundreds of euros. So far, I have not noticed that any PDF files have been displayed incorrectly, and all comments / bookmarks have been displayed correctly in Adobe Reader as well.
